How do I create a Webex meeting, training or event directly in Moodle?

With the help of these instructions you can then create a Webex meeting, trianing or event directly in Moodle. The advantages of creating the rooms directly in Moodle are that appointments and video recordings can be seen in one place for everyone.

  1. Go to the Moodle course you want, turn on editing and click on "Create activity or material"
  2. Now choose "External Tool" and click on "Add"
  3. Give the activity a name and choose Preconfigured tool "Webex" out. The remaining settings can be left as they are. Now click on "Save and display"
  4. Now click on Open in a new windowPlease note that the loading time may be longer than usual due to the processes in the background
  5. The setup should then be carried out. Here you select the features that are displayed. It is recommended to activate the virtual meetings as well as the office hours. Then click on "Apply"

After this initial setup, the meetings or training courses can be scheduled. It is recommended to create a meeting and a training, e.g. for group work.

  1. For a new meeting, training or event, click on "New Meeting"
  2. Now the Webex login window loads, as soon as it is loaded, log in with the Webex account and grant the connector authorization.
  3. You can then enter the name of the meeting, e.g. the course name, the start date and the approximate duration.
  4. Now must be in the section "Choose Host Center" will select the type of meeting.
  5. The repetition is then specified in the "Recurrence" section. E.g. "Weekly" every Monday
  6. In the section "Ending" the end date or the number of repetitions can be specified.
  7. If these steps are carried out in this way, they only need to be carried out at the beginning of the semester.

After the course, the recordings made will be listed in the recordings tab after one day at the latest. The time it takes to process the recording varies depending on the length. Important: The recording will be available in Moodle approximately one hour after the scheduled end of the meeting, even if the recording is already available in the Webex environment.

  9. Note 2: Corrections must be made via moodle in WEbEX, as it is not backwards-synchronized with the own WebEx environment. Recurring meetings must be deleted and re-created for corrections. Individual meetings (date / time, etc.) can still be corrected from Moodle. The meetings created in Moodle, including any corrections, also appear in your own WEbEx environment at https://fhgr.webex.com.

As a student, you will find the respective Webex meetings in your Moodle course in the activity with the Webex symbol:

This activity opens a new window in your browser, here you will then find the Webex meetings / lecture dates for the module:

There is then a join button (instead of the host button in the lecturer view). To join the Webex meeting room, click the "Join" Button. It then automatically opens the Webex app to participate in the respective video conference.


The recordings are located on the "Recordings" tab.

Now click here on "View Recording" and then on "Copy" to copy the password. By clicking again "View Recording" the recording can now be viewed.

tip: Create a Webex meeting and a Webex training. In this way, it can be announced spontaneously whether group work with Break Out Rooms will take place

tip: Other people can also create meetings for the course. It is important to start, however, that an alternative host is then set on the Webex homepage. However, the alternate host can only start the meeting from the Webex App or Webex Page.
